Privacy Policy

This Privacy Policy explains how Solency collects, uses, stores, and protects information in connection with our college recruiting software (the “Service”), which helps college coaching staffs organize the recruiting emails they receive into a searchable dashboard.

We built this Service around a simple principle: your data is yours. We do not sell it, we do not share it for advertising, and we do not use it to train AI models. We are only presenting information you already receive, organized in a more useful way.


Who this policy is for

Our direct customers are college coaches and their athletic programs (“you” or “Customers”). In the course of providing the Service, we process information about prospective student-athletes (“Recruits”) that appears in the recruiting emails our Customers receive. Some Recruits are minors.

Because a meaningful portion of recruiting communication involves minors, we treat all Recruit data with heightened care, and we act only as a data processor on behalf of the coaching program, which remains the party that collects and controls that information.


Information we process

Customer account information. Your name, email address, program/school affiliation, login credentials, and billing information (billing is handled by our payment processor; we do not store full card numbers).

Recruit information from your emails. When recruiting emails arrive in your connected inbox, the Service reads them and extracts structured details — which may include a Recruit’s name, email address, phone number, graduation year, position, GPA, club/travel team, hometown, and the content of their message. This is the same information already sitting in your inbox; we organize and display it back to you.

Coach-created information. Notes, tier or priority rankings, and manually added Recruits that you enter into the dashboard.

Technical information. Basic logs needed to operate and secure the Service (e.g., sign-in events, error logs, and system health metrics). We do not use advertising trackers.


How we use information

We use the information above only to:

We do not sell your data. We do not share it for third-party advertising. We do not use your data — or your Recruits’ data — to train machine-learning models.


How email classification works

To turn a raw email into structured pipeline data, the Service sends the email’s contents to a third-party AI provider (Anthropic) solely to extract the fields listed above. This processing is automated and used only to populate your dashboard. We do not permit this data to be used to train the provider’s models.

Delivering the Service requires a small number of trusted infrastructure providers that process data on our behalf. As of the date above, these include:

Each processes data only as needed to perform its function. We do not authorize any of them to sell your data or use it for their own advertising.


How we protect your data

No system is perfectly secure, but we take reasonable, current measures appropriate to the sensitivity of the data — including the fact that it may involve minors.


Data retention and your control

Your data is yours. While your account is active, your data remains available to you. You may:

If you close your account, we will delete your Customer and Recruit data within a reasonable period, except where we are legally required to retain certain records (e.g., billing history). Backups containing residual copies are cycled out on our standard backup schedule.

Recruits and minors

Some Recruits are under 18. We process their information only as a service to the coaching program that received their communications, and only to organize communications the Recruit or their representatives sent to that program. We do not knowingly solicit information directly from minors, and we do not use minors’ information for any purpose beyond providing the Service to the coach.

If you are a Recruit, a parent, or a guardian and want information about, correction of, or deletion of a Recruit’s data, contact jesse@solency.ai and we will work with the relevant coaching program to honor the request.


Changes to this policy

We may update this policy as the Service evolves or as our legal obligations change. When we do, we will update the “Last updated” date above, and for material changes we will make reasonable efforts to notify Customers.
